About James Hirons Care Home
James Hirons Care Home is a 24-bed care home in Leamington Spa, providing high-quality care and support since 1953. The home is committed to the highest standards for both long-term residents and short respite stays, offering excellent facilities in a warm, friendly, and stimulating environment. To ensure all residents receive the best possible care, the home utilizes a robust Time and Attendance system to manage staff shifts effectively.
Their dedicated staff ensure privacy, dignity, choice, independence, and support for every resident. Many team members have worked at James Hirons for over twenty years, allowing the home to maintain consistently high standards of care. The home also invests in staff development, ensuring all team members are equipped to deliver the best possible support to residents.

The Challenge
When a new trustee joined, they recognized that the care home needed to upgrade its IT systems and implement a professional solution to record staff hours for payroll. The existing paper-based system produced errors and allowed the possibility of employees signing in for one another.
Manual timesheets required significant administrative effort for input and reconciliation, which was time-consuming and error-prone. With over 30 staff members and plans to expand, James Hirons needed a reliable, scalable system to accurately track hours worked.
Our Solution
Chronicle Online implemented a tailored workforce management solution using the Chronicle Time & Attendance Module. The system uses a biometric terminal with fingerprint recognition for staff clock-ins and clock-outs, eliminating the need for manual recording.
Key benefits included:
- Accurate tracking of on-site staff for payroll and fire safety compliance.
- Automated reports ready for payroll export to their outsourced processor.
- Elimination of fobs, cards, and paper records, improving both security and efficiency.
This solution ensured that James Hirons could track staff hours efficiently while reducing administrative burden.

Project Summary
The project launched smoothly in March 2023, with Zac Ballard from Chronicle leading system setup and staff training. Training was conducted remotely over three hourly Teams sessions, making it convenient for all employees.
Since launch, the home has relied on Chronicle’s in-house technical support and added additional licenses as needed. Over 40 employees now use Chronicle to record their working hours, ensuring accurate data for payroll and reporting.
Outcome
With the new Chronicle Time system, James Hirons achieved:
- Accurate and efficient staff hour tracking, reducing manual effort and improving payroll accuracy.
- Streamlined administrative processes, helping control costs and enhance operational efficiency.
The home now has a reliable record of worked hours, allowing staff to focus on their core mission of caring for residents
