Bainland Lodge Retreats Case Study: Managing a Growing Workforce with Chronicle

Overview

We’re pleased to share our latest customer case study featuring Bainland Lodge Retreats, a family-run luxury lodge retreat based in Woodhall Spa, Lincolnshire.

Set across 45 acres, Bainland offers luxury lodges and villas, spa facilities, an indoor pool, on-site dining and facilities for corporate and wellness events. Behind the guest experience is a workforce of more than 200 employees working across areas including housekeeping, grounds, spa, hospitality and administration.

As the business grew, managing employee hours through manual timesheets became increasingly time-consuming. Working hours and absence information had to be collected, checked and then prepared for payroll. Bainland needed a more reliable way to manage attendance while also making processes easier for employees and managers.

Moving away from manual processes

Bainland has been using Chronicle since 2019, with the system now supporting time and attendance, employee self-service and payroll reporting across the business.

Employees working at fixed locations can clock in and out using Chronicle fob terminals positioned around the park. Meanwhile, employees who need more flexibility can use the Chronicle mobile app.

Both methods feed into the same system, giving managers greater visibility of attendance across different teams and departments.

Employees can also submit holiday requests directly through Chronicle, reducing the need for paper forms, spreadsheets and back-and-forth emails. Managers can then review and approve requests through the same platform.

Making payroll simpler

Payroll was another important part of the project.

Chronicle worked with Bainland to create a bespoke payroll report that provides attendance information in the format required by its finance team. This reduces the amount of manual data preparation required before payroll and helps minimise errors.

Aaron Smith, Finance Manager at Bainland Lodge Retreats, explained that moving away from the previous manual process has provided the business with more accurate payroll information while also saving time through automated timesheets and holiday approvals.

Supporting Bainland as it continues to grow

Today, Chronicle supports more than 200 Bainland employees, providing a central place for attendance information, holiday management and payroll data.

The system gives Bainland flexibility across different roles and departments while providing managers and administrators with greater visibility of workforce information. Chronicle has also continued to support the business as its team and requirements have changed over the years.

Rupert Lassen, Managing Director at Chronicle Computing, said the project demonstrates how Chronicle can adapt around the way a business operates, rather than forcing organisations into a rigid process.
