The Challenge

Two Companies, One Organisation

JNC is actually two companies—JNC Sales and Cover Travel—within a single organisation. They have a disparate workforce made up of engineers, arcade staff, and office staff across nine locations around the UK.

Outdated Systems

Having used timesheets and paper records since its incorporation in 1981, the business went to market in September 2018 looking for a product that could centralise time and attendance records within the business. Head office wanted real-time visibility of hours worked, lateness, and overtime. They also wanted to enable managers at a site level to administrate their team’s records, schedule shifts, and plan operationally.

Key Requirements

It was imperative that the solution was quick and easy to set up, suitable for a retail and workshop environment, cloud-based, and could demonstrate a clear ROI (Return on Investment).

Finding the Right Solution

Chronicle provided both online and onsite demonstrations of the proposed solution and a tailored proposal over a period of three months to a range of users and managers within JNC.

PAYmate Terminals: Practical and Flexible

With so many sites, the PAYmate clocking terminals were a great fit. They were not only low cost, but could also be installed internally by JNC and worked on their existing network.

Accurate Payroll Integration

Of significant importance was Chronicle’s ability to produce a payroll output showing all worked hours, overtime, and holiday/sick hours for each employee. Using a combination of rounding rules and overtime logic, Chronicle and JNC’s payroll team generated an accurate report, saving substantial time and effort every month.

The Solution

The Chronicle suite of workforce management tools offers a complete solution for employee scheduling, time tracking, HR management, and payroll integration.

With Chronicle Scheduling, businesses can easily roster the right people in the right place at the right time. PAYmate terminals provide an affordable and accurate way to record employees’ worked hours, ensuring precise payroll data.

To simplify workforce oversight, the Holiday, Sick, and Absence Planning tools deliver live information, detailed statistics, and clear incident reports. Meanwhile, Chronicle HR maintains an online database that stores employee contracts, appraisals, disciplinary records, skills, and training histories.

Employees can access their information through Self Service, where they can view rosters, check worked hours, and review holiday or absence entitlements. The Activity and Cost Centre tracking feature also allows staff to log time against multiple roles or departments. This helps produce an accurate payroll output.

For payroll processing, the Exports function enables businesses to create a custom CSV file with a single click. This is ready for direct import into payroll systems. Consequently, it reduces administrative work, prevents errors, and eliminates the risk of overpaying staff.

Finally, the Budgeting tools help manage staffing levels by hours, headcount or monetary values. They clearly show plans versus budgets and actuals versus plans.

The Process

The implementation process was broken down into three parts.

1. The Setup and Configuration – Activating the live environment, releasing the URL and username/password. Importing all the employee details, building and defining the working rules, budgets, and shift patterns. Setting up all the holiday sick and absence entitlement. Tagging employees to the correct roster, activity, and department.
2. The Installation and Commissioning – Installing the hardware, checking it communicates properly, defining the IP address or DCHP settings, and issuing fobs to the employees.
3. The Training and Bedding IN – Online training for an hour at a time, provided remotely. This helped give the best results and system users the opportunity to absorb the training at a manageable rate.

The number of queries and time spent on overtime and absenteeism has significantly reduced since using Chronicle
