Improve On-Site Safety with Chronicle’s Visitor Management Module

Overview

Keeping an accurate record of everyone on-site is essential for workplace safety, security and emergency planning. Chronicle’s Visitor Management Module lets employees and visitors sign in and out quickly using a mobile phone or tablet, giving you an up-to-date view of who’s on the premises at any time.

Accurate On-Site Records for Employees and Visitors

Employees can mark themselves on-site or off-site, with their status feeding directly into Chronicle’s fire reporting — giving fire marshals clear information during an evacuation. This is for site visibility only; it does not record hours for payroll.

Visitors sign in by entering their details, selecting the employee they’re visiting, and providing a reason for their visit. Once saved, they’re added to the fire report and stored in the Visitors/Contractors area for a clear record of site activity. Signing out at the end of a visit keeps the register accurate throughout the day.

Automatic Host Notifications

When a visitor selects who they’re meeting, Chronicle automatically emails that employee (provided a valid email address is on file) reducing delays and improving communication when welcoming visitors on-site.

Built for Regular Visitors and Contractors

Chronicle lets you create recurring visitor records for contractors, suppliers and other frequent visitors, making repeat visits quicker to process while maintaining accurate records and fire-reporting information.

Required Documents and Visitor Acknowledgements

Chronicle lets organisations add company documents such as a site safety induction, NDA, fire-evacuation notice or health and safety policy to the visitor registration form. Visitors must open, read and tick each required document before completing sign-in, and Chronicle records the documents each visitor acknowledges during their visit. If an organisation does not add any required documents, visitors can complete the standard registration process with no extra steps.
